Planning Your Trip
Esprit works with you to create a magical journey that will exceed your expectations for easy travel, the right accommodations, exploration of your interests and a meaningful experience of the culture, people and places you visit. The process will follow several steps to ensure that your needs are being met.
TRIP CREATION
During an initial phone call or exchange by email we try to get a feel for what kind of trip and services you are looking for, your dates, your style of travel, your budget and any special needs and interests which we can accommodate. Based on that initial information, we give you a Sketch Itinerary outlining a route, types of accommodations, and other services we can provide. These services include making theater, restaurant and cultural event reservations; arranging introductions and local guides; and suggesting special events, festivals and shows you might want to see.
After getting your feedback, the Sketch Itinerary is revised if necessary. With this completed, an estimated cost is calculated and provided for your review. The estimated cost will include the services selected, which may include hotels, transportation, guides, tours and events, as well as our tour planning fees. The price is not broken down item by item but is a package price reflecting all of the above services and costs.
IMPLEMENTING PLANS
Once you approve the Sketch Itinerary, we ask that you place a $350 per person non-refundable deposit so that we can begin to make all necessary arrangements. The $350 goes toward your final bill. Once we receive confirmations from hotels we can establish the final price, based on the actual accommodations and services confirmed. If we are unable to confirm any of the recommended hotels or services we will discuss alternatives with you. This may take weeks or months, depending on your departure date, due to the nature of communications with some locations in India.
After you place your deposit, we'll begin making all of the necessary reservations for your trip. We urge you to purchase trip cancellation insurance and will send information on at least 2 different providers.
FINAL PAYMENT
This payment is due 60 days prior to departure or immediately if you will be traveling in less than 60 days. The final amount due is based upon the current rupee exchange rate. Regarding the fluctuating exchange rate: we have worked out a system that we believe is a fair way to deal with the local currency-dollar exchange rate which often fluctuates daily. The portion of your trip cost which we must pay in a foreign currency will be calculated based on the actual applicable exchange rate at the time we prepare your final invoice. We then buy currency on the earliest possible working day after we receive and process your final payment. A fluctuation of more than one point in either direction may result in an adjustment in your final price.
PRE-DEPARTURE
After receiving your final payment, Esprit will prepare a detailed custom itinerary for you that will help you prepare for your trip and keep you relaxed, organized and informed while traveling. It will include all accommodations and meals included; transfer and transportation information; directions and sightseeing information; helpful tips on local customs and services; historical, cultural and artistic highlights on your destinations; contact information and reservations. Maps, necessary vouchers and confirmations will arrive along with your custom itinerary approximately two weeks prior to your departure.
